A Walkthrough of the Remote I-9 Process

Using Maximus’ I-9 Remote Hire Service eliminates the challenges and headaches of maintaining a compliant I-9 process. Step 1
The employee journey starts here, after applying and accepting a job offer.
The employee starts the onboarding process as they normally would.
Step 2
The hiring manager triggers a Remote Hire Request in the I-9 system.
A hiring manager will trigger the I-9 remote hire process through the Maximus I-9/E-Verify portal. This will send an email to the new employee with a link to the I-9. It will also alert our nationwide network partner to assign an authorized representative to schedule a time to meet with the employee to complete Section 2 of the I-9.
Step 3
The employee receives an email with instructions to complete the first section of the I-9.
The employee receives a link via email that includes detailed instructions on completing Section 1 of the I-9. The employee then fills out Section 1 of the I-9 on his/her own via an online form.
Step 4
The employee receives a text message to set up an appointment to complete Section 2 of the I-9.
The employee receives a text message letting him or her know that an authorized representative has been assigned to complete Section 2 of the I-9. The employee and authorized representative agree to schedule an in-person appointment in which Section 2 will be completed.
Step 5
The employee and authorize representative travel to meet at a public place, like a coffee shop.
The employee and authorized representative both travel to the agreed-upon location at the appointment time. Typically, appointments take place at a neutral, public location such as a coffee shop.
Step 6
The employee and authorized representative complete Section 2 of the I-9 form.
The authorized representative shall examine the employee identification and accurately complete and sign Section 2 of the I-9 form.
Step 7
The completed I-9 form is uploaded to the Maximus portal and the hiring manager is alerted.
The authorized representative shall complete Section 2 of the Form I-9 through the Maximus I-9/E-Verify portal and updates will be provided in real-time to the hiring manager. Once completed, the hiring manager is alerted and the supporting documentation (if necessary) is uploaded to the system along with the image of the completed I-9.
